How to Optimize Space on Your Mac: Storage Management Guide

Step 1: Identify What’s Taking Up Space


Before freeing up space, you need to know what’s using it.


  1. Click the Apple menu () and select About This Mac.

  2. Go to the Storage tab.

  3. Review the breakdown by apps, documents, photos, music, and more.


This will give you a clear idea of where to focus your efforts.



Step 2: Use the Optimized Storage Feature


macOS includes a built-in tool called Optimized Storage that helps you manage space intelligently. To enable it:


  1. Go to System Preferences > Storage.

  2. Click Manage next to your main disk.

  3. Select the available options:


    • Optimize Storage – Automatically removes watched movies and TV shows.

    • Empty Trash Automatically – Deletes items in Trash after 30 days.

  1. Open Finder and go to Downloads.

  2. Sort files by size and delete unneeded ones.

  3. Move important files to organized folders.



Step 5: Manage Photos and Videos


Photos and videos can quickly consume space. Consider:


  • Using iCloud – Turn on iCloud Photos to store images in the cloud while keeping optimized versions on your Mac.

  • Transferring to External Storage – Move large media files to an external hard drive.

  • Removing Duplicates – Use apps like Gemini to find and delete duplicate images.



Step 6: Uninstall Unused Applications


Even unused apps take up valuable space. To remove them:


  1. Go to Finder > Applications.

  2. Drag unwanted apps to the Trash.

  3. Use tools like AppCleaner to delete leftover files.
